Privacy Policy

1. Who we are

This Privacy Policy explains how Frenz LLC, an Iowa limited liability company (“Frenz”, “we”, “us”), collects and processes personal data when you use FrenzPoll at https://frenzpoll.com (the “Service”).

For data-protection law, Frenz LLC is the controller of personal data processed to operate your membership, wallet, and the FrenzPoll website. Independent survey suppliers are separate controllers (or, in some integrations, our processors) for the data they receive to run a specific study. Their notices apply when you enter a study on their systems.

2. Scope

This Policy covers members, visitors to public pages, and people who contact us. It does not cover third-party websites you reach from a survey entry link. We currently offer membership in the United States, United Kingdom, Canada, Germany, France, and Australia. This Policy is designed to meet US state privacy laws (including the CCPA/CPRA), the UK GDPR, and the EU GDPR where they apply.

3. Data we collect

We collect the following categories of personal data:

• Account data: email address, password hash, name if you provide it, account status, and legal-acceptance timestamps.
• Profile data you give us: date of birth or age, gender, country, postal or ZIP code, language/locale, and other demographic or profiling attributes used to match studies.
• Contact data: phone number if you add one, and messages you send to support.
• Technical data: IP address, approximate location derived from IP, user-agent, device and browser type, referring URL, and a device fingerprint used for fraud prevention.
• Usage data: pages viewed, surveys started and finished, screen-outs, timestamps, click identifiers, and wallet events.
• Supplier outcome data: complete, terminate, quota-full, quality-reject, and similar statuses returned by research partners, plus any reward amount they confirm.
• Payout data: redemption method, destination (for example a gift-card email), amounts, and review notes. We do not ask for credit-card numbers or government ID numbers to create an account. Identity documents are requested only if a payout review or legal obligation requires them.
• Marketing preferences: which email categories you opt into or out of.
• Fraud and safety signals: duplicate-account indicators, velocity flags, blocklist hits, and supplier quality flags.

Email and phone numbers are stored encrypted at rest, with a keyed hash used only to look up an account or detect duplicates. We do not store your password in recoverable form.

4. How we collect it

• Directly from you, when you register, complete your profile, take studies, redeem rewards, or email us.
• Automatically, through cookies, logs, and fraud-prevention scripts when you use the Service. See our Cookie Policy.
• From survey suppliers, as completion and quality callbacks.
• From security vendors we may use (for example bot-mitigation or IP-intelligence services) to assess risk.

5. How we use data and our legal bases

We use personal data to:

• Create and secure your account, verify your email, and authenticate sessions (contract).
• Match you to relevant studies and build entry links for suppliers (contract).
• Calculate rewards, operate the wallet, handle clawbacks, and fulfil gift-card redemptions (contract).
• Prevent fraud, duplicate accounts, bots, location misrepresentation, and survey quality abuse (legitimate interests; and contract, because a fair panel is part of the service we provide to you and to research buyers).
• Send service messages (verification, password reset, payout status) (contract / legal obligation).
• Send optional product, survey-alert, or promotional email if you opt in (consent). You can withdraw at any time in account settings.
• Comply with tax, accounting, consumer, and law-enforcement requests (legal obligation).
• Improve matching, reliability, and support, using aggregated or de-identified data where practical (legitimate interests).

We do not use your survey answers from third-party studies to build a marketing profile for sale. Those answers are collected by the supplier or research buyer under their notice.

6. Sharing with survey suppliers and others

We share personal data only as needed to operate FrenzPoll:

• Survey suppliers and research partners. To check eligibility and attribute a session we may send a unique respondent ID, country or locale, selected profile attributes (for example age band or gender), IP address, user-agent, and a one-way hash of your email. We do not send your password. A current list of active suppliers is available on request.
• Fulfilment and infrastructure processors. Hosting, email delivery, databases, and (when used) gift-card issuers process data on our instructions.
• Security and fraud vendors, where engaged, receive technical identifiers (IP, device signals) to score risk.
• Professional advisers and authorities, where required by law, to establish or defend legal claims, or to protect members.
• A successor, if we transfer the business, under continuing confidentiality and this Policy or a successor policy.

We do not sell personal information as that term is defined by the CCPA/CPRA, and we do not share it for cross-context behavioural advertising. We do not allow suppliers to use panel contact details we send them to market unrelated products to you.

7. International transfers

Frenz LLC is established in the United States. If you are in the UK, EEA, or another country, your data is processed in the United States and may be processed in other countries where our processors or survey suppliers operate. Where a transfer from the UK or EEA requires a safeguard, we rely on the European Commission’s Standard Contractual Clauses (and the UK addendum where applicable), adequacy decisions, or another lawful mechanism. 8. Retention

We keep account and profile data while your membership is active. If you request deletion, the account is deactivated immediately and personal data is erased after a thirty (30) day grace period, except:

• Wallet, payout, and tax records we must keep under accounting and tax law (typically up to seven years, stored with identifiers minimised where possible).
• Limited fraud, security, and dispute records needed to prevent re-registration of banned accounts and to defend claims.
• Backups, which rotate on a short cycle and are then overwritten.

Server logs are kept for a short operational period unless a security investigation requires longer.

9. Security

We use TLS in transit, encryption at rest for email and phone, hashed passwords, access controls, and rate limiting. No method of transmission or storage is perfectly secure. You can help by using a unique password and by telling us if you see unauthorised activity.

10. Cookies

We use essential cookies to keep you signed in and to remember cookie choices, and we may use optional cookies to understand how the public site is used. You can accept or reject non-essential cookies in our banner. Details are in the Cookie Policy.

11. Your rights (UK GDPR and EU GDPR)

If UK or EU data-protection law applies to you, you have the right to access, rectify, erase, restrict, or object to certain processing, and to data portability. You may withdraw consent where processing is based on consent, without affecting prior lawful processing.

You can export a machine-readable copy of your data or request deletion from your account page, or email support@frenzpoll.com. We may need to verify that the request comes from the account holder. You also have the right to lodge a complaint with the UK Information Commissioner’s Office or your EU member-state supervisory authority.

We use automated matching and fraud scoring to decide which studies to show and whether to allow a session or payout. These checks are necessary to provide the Service. If you believe a decision was wrong, contact support@frenzpoll.com and we will review it.

12. US state privacy rights

If you are a resident of California or another US state with a consumer privacy law, you may have the right to know, access, correct, or delete personal information, and to opt out of sale or sharing. We do not sell or share personal information as those laws define those terms, and we do not use sensitive personal information to infer characteristics beyond operating the panel (for example matching and fraud prevention).

Submit requests from your account or by emailing support@frenzpoll.com. We will not discriminate against you for exercising these rights. We do not currently recognise browser opt-out signals as an authenticated account request; use in-product controls or email us. Authorised-agent requests must include proof of authority and sufficient detail for us to verify the member.

13. Children

The Service is for adults only. We do not knowingly collect personal data from anyone under 18. If we learn that we have, we will close the account and delete the data, subject to the retention rules above. Parents or guardians should contact support@frenzpoll.com.

14. Changes

We may update this Policy. The effective date at the top will change. Material changes will be posted here and, where required, notified by email or in the product. Continued use after the effective date means you accept the updated Policy.
